Forex CRM cost depends on the pricing model and your own numbers: active traders, staff seats, modules such as IB commissions or PAMM, integrations with payment and KYC providers, data migration and the MT5 connection. One-time onboarding is usually charged on top. Compare quotes line by line rather than by headline fee, and ask FXUP for current figures for your setup.
How much does a forex CRM cost in 2026?
A forex CRM costs whatever your client numbers, staff, modules and integrations add up to under the vendor’s pricing model, which is why two brokers can receive very different quotes from the same vendor. A small broker launching on a grey label with a handful of staff, one payment provider and a simple IB plan sits at the bottom of any vendor’s tiers. A regulated broker with several platforms, a large IB network, PAMM and automated KYC sits near the top, and usually pays for onboarding and migration as well.
We do not repeat published price ranges on this page. The ones in circulation mostly come from vendors and describe different things: a CRM add-on to a white label, a standalone back office, or a whole first-year budget including build work. Without the scope behind them they are hard to compare with a real quote, and they date quickly.
What follows explains how vendors charge, what moves the number and how to read a quote. If you want current figures for your case, message us on WhatsApp with your expected active traders, staff and providers, and we will send them.
Which pricing models do forex CRM vendors use?
Six models appear again and again, and most vendors combine two or three of them. Knowing which one a vendor uses tells you which part of your growth will cost you money, which matters more than the starting fee.
Per active trader
Tiers by the number of clients actively trading or holding funded accounts. Light at launch; the bill grows with success, often in steps.
Per staff seat
Tiers by the number of managers or back-office users. Predictable if your team is small and stable, expensive if sales grows fast.
Feature tiers
Higher tiers include modules such as advanced IB plans, PAMM or reporting. Watch for the one module you need sitting two tiers up.
Base fee plus modules
A base licence with priced add-ons, such as MAM or PAMM, automated KYC, bonuses or a mobile client area.
Volume or deposit based
Fees linked to client deposits, transactions or trading activity. Model it against your forecast before accepting it.
One-time onboarding
Setup, configuration and data migration, charged once. Several vendors say it exists without stating what it is until you ask.
What drives the cost of a forex CRM?
The licence tier is only the starting point. In the quotes we see, these factors move a CRM bill the most, roughly in order of impact.
- Number of active traders or accounts. The main driver for per-client pricing. A broker forecasting 300 active traders in year one lands in a very different tier from one expecting 3,000.
- Number of staff users. Sales, support, compliance and finance seats add up quickly on per-seat pricing.
- Modules. IB commissions, PAMM or copy trading, bonus management, automated KYC and reporting are often priced separately.
- Integrations. Each payment provider, KYC vendor and trading platform that is not already connected may mean custom work.
- Data migration. Moving clients, documents, IB trees and payment history from another CRM is usually quoted separately.
- Trading platforms. Connecting more than one platform, or more than one MT5 server, can raise both the tier and the setup work.
- Hosting and data location. A dedicated instance, or a specific data region for regulatory reasons, costs more than shared hosting.
- Custom features and branding. Changes to the client portal beyond logo and colours are normally development work.
- Support level. Extended hours, a named contact or faster response times are often a separate tier.
What should a forex CRM quote contain?
A complete quote states the pricing basis, the limits that trigger the next tier, every module and integration included, the one-time charges and the exit terms. Anything not in writing is open to interpretation, and in our experience it is usually interpreted in the vendor’s favour.
Use the table as a checklist when a quote arrives. If a line is missing, ask for it before you compare the quote with anything else.
| Item | What the quote should say | Warning sign |
|---|---|---|
| Pricing basis | Per active trader, per seat, per module or by volume, with definitions | “Active client” not defined |
| Tier limits | The client or staff number where the next tier starts | Only the entry tier described |
| Modules | Every module included by name, and the ones priced separately | “Full functionality” without a list |
| Integrations | Which payment, KYC and platform connections are included | Integrations “on request” |
| MT5 connection | Which API, which servers, who arranges access | MT5 sync assumed but not described |
| Onboarding | What setup covers, timeline and when it is paid | Fee mentioned without deliverables |
| Migration | Records moved, format, testing and sign-off | Migration not mentioned at all |
| Support | Hours, channels, response times | Support described but not defined |
| Term and exit | Minimum term, notice period, data export format and timing | No exit clause |
Which costs sit outside the CRM licence?
Several, and together they are often larger than the CRM itself. None of them appears in a CRM vendor’s fee, and none is a reason not to buy a CRM; they are part of running a brokerage and belong in the same budget so that vendor comparisons are fair.
| Cost | Who charges it | How it is usually priced |
|---|---|---|
| Payment processing | Payment service providers | Per transaction or a share of the amount, set in your PSP contract |
| Identity verification | KYC and AML vendors | Per check or per verified client, set in your vendor contract |
| MT5 API access | Your MT5 licence holder | Included or charged depending on your grey label, white label or own licence |
| Custom integrations | CRM vendor or a third party | Project-based |
| Data migration | CRM vendor | One-time, by volume and complexity |
| Staff time | You | Compliance and finance staff working in the CRM every day |
Is a CRM bundled with a white label or grey label cheaper than a standalone CRM?
Often, at the start, because setup and the MT5 connection are already part of the platform project. A bundled CRM arrives configured for the server it runs on, so there is no separate integration project and often no separate onboarding charge. The trade-off is flexibility: if you later change platform provider, a bundled CRM may not come with you.
A standalone CRM costs more to set up but stays put when other parts of your stack change. Brokers who expect to move from an MT5 grey label to their own MT5 licence within a couple of years sometimes choose a standalone CRM early for that reason. Either way, check the data export terms before signing.
FXUP has its own broker CRM and also works with partner CRMs. We propose whichever fits: our own when you want the CRM delivered and connected as part of the same project, a partner CRM when your business needs a feature set or a certification it already has.
| Bundled with platform | Standalone CRM | |
|---|---|---|
| Setup | Part of the platform project | Separate onboarding, often a one-time fee |
| MT5 connection | Already configured | Needs API access agreed with the licence holder |
| Cost at launch | Often lower | Depends on tier and onboarding |
| If you change platform provider | May need replacing | Usually stays |
| Best for | New brokers launching quickly | Brokers with several platforms or plans to move |
How does forex CRM cost change with broker size?
It rises with clients, staff and complexity, but not in a straight line. The step from a lean offshore broker to a regulated one is driven less by client numbers than by compliance, reporting and audit requirements, which bring extra modules, stricter hosting and longer onboarding.
For a new broker on a grey label, an entry tier or a bundled CRM is usually enough for the first year. For a growing broker with an active IB network, the IB module and payment integrations dominate the bill. For a regulated broker, expect enterprise features, data location questions, audit trails and a longer onboarding. The forex brokerage technology cost guide puts the CRM in the context of the whole stack.
- Launch stage: few staff, one or two payment providers, simple IB plan. Watch the tier step-ups rather than the starting fee.
- Growth stage: multi-level IB commissions, more payment methods, more staff seats. Integrations and seats become the main cost.
- Regulated stage: reporting, audit trails, data residency and enterprise support. Hosting and compliance features become the main cost.
How do you compare two forex CRM quotes line by line?
Build the comparison from your own forecast rather than from the vendors’ headline tiers. It takes an afternoon and gives you something concrete to hold every quote against.
- Forecast clients and staffActive traders at months 3, 6, 12 and 24, and the number of staff who will log in each month.
- List required modulesIB commissions, PAMM or copy trading, automated KYC, bonuses, reporting. Mark each as must-have now or later.
- List your providersPayment providers, KYC vendor and trading platforms. Ask each vendor which are already integrated and which need work.
- Apply each vendor’s tiers to your forecastMonth by month, not just at launch, so step-ups at tier limits show up.
- Add one-time chargesOnboarding, migration and any custom integration work, in writing.
- Add outside costs and exit termsPSP and KYC fees from your contracts, plus the notice period and export terms, so the comparison is fair.
How does the MT5 connection affect CRM cost?
It decides whether there is a separate integration project. A CRM connects to MetaTrader 5 through MetaQuotes’ Manager API or Web API, and the access comes from whoever holds the server licence. On a grey label your provider controls it; on a white label it depends on the arrangement; on your own server, you grant it. If the CRM vendor has already connected to your provider’s servers, setup is short. If not, expect integration and testing time, and ask who pays for it.
The licence tier can matter too. MetaQuotes sells MT5 licences by account capacity (Entry 1,000 real accounts, Standard 25,000, Enterprise 200,000), and a CRM that opens accounts automatically should be set up with that ceiling in mind. Our guides to the MT5 Manager API and the MetaTrader 5 Web API explain the interfaces. A CRM that connects to MT5 through a documented route saves money every month in avoided manual corrections, which never appears on a quote.
“Manager API allows you to develop custom administration and management utilities, or even your own manager terminal.”
What does leaving a forex CRM cost?
Usually more than people expect, because exit costs are rarely priced at signing. Leaving means exporting clients, KYC documents, payment history, IB trees and audit logs, importing them elsewhere and running both systems in parallel for a while. If the export comes in a proprietary format, the new vendor has to map it, and that work is billed.
Data protection law gives you some leverage. Under UK GDPR, the contract between you as controller and the CRM vendor as processor must cover what happens to personal data at the end of the service; the UK Information Commissioner’s Office lists the required terms. Other jurisdictions have their own rules, so check with your adviser. This is not legal advice.
“at the controller’s choice, delete or return to the controller all the personal data it has been processing for it”
What should I ask before signing a forex CRM contract?
Ask the questions that turn a monthly figure into a total cost. Each one has caught out brokers we have spoken to.
- What is the one-time onboarding charge, and what exactly does it include?
- How do you define an active trader or a staff seat for billing?
- At what client or staff number does the next tier start, and what changes?
- Which of my payment providers and KYC vendors are already integrated, and how is a new one charged?
- Are there fees linked to deposits, volume or transactions?
- How is data migration from my current CRM charged, and who signs it off?
- What is the minimum contract term and notice period?
- How do I export my data if I leave, in what format, and is there a charge?
- Are support hours and response times included, or a paid extra?
How does FXUP price its forex CRM?
We send current figures per project rather than publishing a price list. FXUP has its own broker CRM and works with partner CRMs, and we propose whichever fits your setup. Most often the CRM is supplied together with an MT5 grey label or white label setup, the branded WebTrader and the mobile trading apps, so it is configured and connected to MT5 as part of the same work. If you only need a CRM, we quote that on its own. If you are comparing vendors, our best forex CRM guide sets out the criteria we would use.
FXUP is an independent consulting and technology firm and is not affiliated with MetaQuotes. If you already have a CRM quote, send it to us on WhatsApp and we will tell you which costs it leaves out, and send current figures for the alternatives.
